The Coordinator, Workspace Experience supports daily operations and employee engagement initiatives at a 240,000 sq. ft. workspace campus serving three Sony Pictures Entertainment operating businesses. This role oversees administrative processes, vendor management, purchasing, and financial coordination while helping deliver hospitality-driven programs that enhance the employee experience. Working collaboratively with cross-functional partners, the Coordinator ensures the workspace is well-maintained, efficient, and welcoming, with a strong emphasis on customer service and operational excellence.

In this role, the Coordinator manages core operational functions including vendor oversight, invoice processing, expense tracking, purchasing, and work order coordination. They serve as a key liaison between internal teams, building management, and service providers to ensure seamless facility operations with minimal disruption to employees. The position also oversees pantry and food service programs, supporting daily meal service and hospitality offerings while maintaining quality standards and budget alignment.

Additionally, the Coordinator supports employee engagement and special projects, including wellness programs, screenings, events, and community partnerships. The role requires a highly organized, service-oriented professional who thrives in a fast-paced environment, communicates effectively across all levels, and approaches their work with a proactive, team-first mindset.

Responsibilities

  • Manage day-to-day workplace operations, ensuring a clean, organized, and welcoming environment for employees and guests.
  • Oversee vendor relationships, including onboarding, scheduling, access coordination, invoice review, and payment processing.
  • Administer purchasing and inventory management for office supplies, pantry items, and operational equipment.
  • Track expenses, reconcile Pro-card activity, and support budget oversight through accurate invoice and expense management.
  • Manage and monitor the work order system to ensure timely resolution of maintenance and service requests.
  • Coordinate parking requests and building access for employees, vendors, and visitors.
  • Oversee daily food service and pantry programs, including vendor coordination and quality control.
  • Support planning and execution of employee engagement programs, events, and screenings.
  • Develop and manage workplace communications to promote programs, services, and community initiatives.
  • Partner cross-functionally with internal teams and on-lot organizations to align programming and enhance the overall employee experience.

Qualifications

  • Bachelor’s degree preferred; equivalent experience considered.
  • 3–6 years of experience in workplace operations, hospitality, food service, event coordination, facilities, or related field.
  • Experience in high-touch, customer-focused environments.
  • Proven ability to manage vendors, budgets, and multiple concurrent projects.
  • Experience in entertainment, real estate, facilities, design, architecture, or related industries is a plus.
  • Strong organizational skills and attention to detail.
  • Ability to review and manage budgets and invoices accurately.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to collaborate across all levels.
  • Ability to prioritize tasks, meet deadlines, and perform effectively in a fast-paced environment.
  • Comfortable working independently in ambiguous situations.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); ability to quickly learn new systems and platforms.
  • Discretion and ability to maintain confidentiality.
  • Flexibility to work extended hours as needed.

The anticipated base salary for this position is $56,600-$67,000. This role may also qualify for annual incentive and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
